The Martin's Additions Election Committee voted to hire a voter-roll verification contractor and moved forward on several election-administration items at its monthly meeting.
Unidentified Speaker 5 reported on an interview with a candidate for the verification role, Logan, saying the contractor was a recent graduate with relevant data experience and "stoked to work in government." The committee recommended hiring him at $20 an hour. Unidentified Speaker 2 moved to hire the candidate and Unidentified Speaker 6 seconded; the motion passed and the committee chair said contract paperwork will be prepared by Michael Silliman upon his return from vacation.
The vote followed discussion of the committee's plan to collect three primary source documents needed for verification work: last year's VMA voter roll, the current VMA office list, and the county voter list. Unidentified Speaker 1 requested authorization to retrieve those documents; Unidentified Speaker 6 moved the authorization, Unidentified Speaker 2 seconded, and the motion passed. The committee expects to use the county list primarily as a cross-check (it contains birth dates and other identifiers) despite acknowledging it is often out of date.
Committee members discussed recruitment strategies to boost candidate turnout for the council. Members favored using Jack's draft newsletter material as the basis for a February article and a possible "nominate your neighbor" approach, while noting an existing regulation requires written consent from any nominee. Unidentified Speaker 1 explained that requirement grew from a 2016–17 incident when 41 anonymous nominations arrived at deadline without consent; staff had to call each nominee to confirm.
Work on an election mechanics manual also advanced. Unidentified Speaker 1 said he would circulate sections of a "handy-dandy" manual (voter-roll mechanics, postal-tracking procedures, ballot-curing templates) and asked for a volunteer to organize a library of standardized templates and sample documents. Mike Z. agreed to consolidate documents into a binder and help make current-year committee reports and templates more visible on the committee web page.
What the committee decided
- Motion to approve Dec. 1 minutes: approved by recorded ayes. - Motion to hire voter-roll verification contractor (Logan) at $20/hour: moved by Unidentified Speaker 2, seconded by Unidentified Speaker 6; motion passed. - Motion to authorize retrieval of three source documents for voter-roll verification (last year's VMA roll, current VMA office list, county voter list): moved by Unidentified Speaker 6, seconded by Unidentified Speaker 2; motion passed.
Next steps
Unidentified Speaker 1 will notify the contractor and, once Michael Silliman finalizes the contract, provide a briefing to the new hire. Marty will deliver draft mechanics procedures in about two weeks; Jack will send the February newsletter draft by the Jan. 26 staff deadline; Mike Z. will begin consolidating the standardized templates for the manual and website.
The committee adjourned after about an hour.
