Township approves two‑year IT services contract with Mividia to modernize systems

Cunningham Township trustees on Feb. 9 approved a two‑year service agreement with Mividia for IT services and consulting, a contract the supervisor said will support 25 seats, assist a migration from Google to Microsoft, and advise on case‑management and accounting software integrations.

Supervisor Chenoweth told the board Mividia (based in Bloomington) was selected from eight respondents to an RFP; the vendor declined to customize the township’s case‑management software but will help identify a person to do that work. The supervisor said she negotiated a two‑year term (instead of three) and a free setup valued at roughly $3,100.

Councilors and trustees raised procurement and risk questions. Trustees asked whether the township checked municipal references; the supervisor said she had reviewed nonprofit references and spoken to local clients and that she had vetted technical questions herself. James pressed on 24/7 on‑call response and service‑level commitments; Chenoweth said Mividia offers 24/7 on‑call support with remote access, will respond to genuine emergencies without billing, and can provide in‑person work when required. Trustees also questioned cyber‑insurance responsibility and the vendor’s limit of liability (about one year of fees, roughly $40,000). The supervisor said township insurance and policy language satisfied her and that Mividia’s backup approach includes an on‑site physical server and cloud backups with transition access in case of vendor separation.

Trustees moved and approved language amending the professional services agreement to a two‑year contract; the clerk called the roll and the motion passed.
