The Chair raised an administrative concern about a lapse of meetings over the summer due to flooding and staffing shortages and recommended that staff send cancellation or rescheduling notices and request confirmations from committee members. Several members suggested a combined approach of an email with the packet and a single group text to confirm attendance, while noting legal limits on discussing business outside a duly noticed meeting.
Staff acknowledged one meeting was rescheduled and another canceled because of staff shortages and said new hires reduce the risk of future cancellations. Speaker 2 added that packets are provided by statute and should be received by members by the Friday before a Thursday meeting; staff committed to improve distribution and text notifications for busier members.
On attendance, Heather Stassney, the city clerk, read the committee bylaws: “any committee member who misses three duly called meetings in any 12-month rolling period shall be deemed to have automatically resigned from office, subject to reappointment.” Committee members said that standard was acceptable and declined a separate future agenda item about attendance rules.
The committee accepted its agenda items and adjourned.
