Weston approves 40% CVB contract with 2.5% admin fee after concerns about transparency and admin cost

The Village of Weston board considered a tourism entity agreement recommended by the tourism commission that would direct 40% of room-tax revenue to the convention and visitors bureau (CVB) and include a 2.5% administration fee for grant administration. Trustee Jim and others questioned whether the administration fee (2.5%) represented good value given the staff time and whether the village and board receive adequate communication and invitations from the CVB.
Trustees reviewed room-tax projection figures in the packet (trustees referenced a $517,000 number used for host-town calculations and a $640,000 figure shown in a CVB budget), and a trustee argued the board should use the more conservative projection when calculating administration and grant amounts. Concerns were raised that a temp agency would not provide the same grant-administration experience as the CVB and that staff would be burdened if the CVB did not continue that function.
After a short debate a motion to approve the tourism entity agreement as recommended by the tourism commission carried on a recorded vote (transcript records the outcome as a 5–2 approval). Trustees asked staff to improve communications (invitations and notices) and to clarify how administration fees are applied to grant administration.
