Trustees pressed for financial clarity and an implementation timeline. Staff reported approximately $26,000 identified to date in outside donations (a $25,000 donation from youth baseball plus two $500 donations) and clarified that ARPA funds are held separately from amounts at the community foundation (SEG 811–826). Trustees requested an itemized ledger showing expenditures to date and the current fund balance; staff said the Friends group holds much of the fundraising and will supply quarterly figures per the existing agreement (SEG 833–848).
Board members also discussed project management and the recent departure of a consultant involved earlier in the project. Staff said prior consultant materials and a departure letter were forwarded to the Friends group as part of strategic-planning work and that the village may contract a videographer or other third party for marketing materials if needed (SEG 762–789). Trustees asked staff to include a phasing chart that distinguishes capital-campaign phases from construction phases; staff agreed to include phasing details in future packets (SEG 703–712, 731–745).
The discussion was informational only; no board action was taken on the renovation at this meeting. Trustees directed staff to provide the requested phasing chart and a clearer accounting of funds and expenditures at a future meeting.
The next procedural step is for staff to compile and distribute the phasing plan and an itemized accounting of campaign receipts and expenditures; the board will revisit funding and construction timing in upcoming meetings.
