The Frederick County Public Schools Board of Education Equity Committee on Feb. 4 highlighted planning details for its annual community resource fair, assigning outreach groups, confirming a student panel as the event’s main attraction and identifying follow-up tasks for staff and volunteers.
Committee members discussed leadership for the event and operational tasks that remain. One committee member (Speaker 3) said, “I will be sending out an email, to let you know what group you're in,” and described a template and distribution lists she will provide so volunteers can begin outreach and RSVPs. The committee reviewed logistics carried over from last year: a Google Form for sign-ups, a flyer already produced, cafeteria space and basic timing.
Dr. Keith Harris, who identified himself as FCPS senior staff, agreed to review the community resource list used last year to make sure no organizations are omitted. The committee agreed that the student panel should remain the primary draw; members said students from roughly six of the district’s 10 high schools participated last year and that protecting students’ time to visit tables is a priority.
Members debated adding a short keynote in addition to the student panel. The group favored keeping any keynote brief—about five to six minutes—so as not to reduce students’ time with community tables. Alternatives discussed included prerecorded remarks or a citation from an official rather than an in‑person governor appearance.
Logistics discussed and assigned included recruiting volunteers from the committee, confirming room and technology needs, asking community partners to bring snacks or donate refreshments, and ordering uniform shirts for volunteers (noted cost: $20 each). One member summarized last year’s timetable: event 6:00–8:00 p.m., opening remarks at 6:30, student panel 7:00–7:40, a short step-team performance and community partner remarks before close.
Action items recorded at the meeting: Speaker 3 will send the group assignments and the outreach template to committee members; Dr. Keith Harris will review the community resource list from last year; planning questions for community groups (mentoring opportunities, summer-job offerings, readiness to speak) will be drafted and added to the outreach form; members will set strict time limits for community remarks.
The committee said it will reconvene these materials via email and track action items before the next Equity Committee meeting. The community resource fair will substitute for a formal committee meeting in that month and committee leaders will follow up with Ray Gallagher about logistics and outreach.
