Pingree Grove board approves cloud upgrade for BSNA financial software

The Pingree Grove Village Board voted Feb. 17 to authorize a move of its BSNA accounting system to the vendor’s cloud version after staff trimmed the requested scope and cost.

Staff said they removed several optional modules from the original upgrade request, lowering the annual maintenance to “about 37 and a half thousand” and reducing the total implementation request from more than $100,000 to under $71,000. Albert, who presented the memo, said the removed modules included purchase-order functionality, work orders and building-permit modules — two of which the village does not currently use — and that legacy permitting data would still be accessible if needed. “We went from over a 100,000 originally requested down to less than 71,000,” Albert said.

Trustees also questioned security features and whether residents and staff would use multifactor authentication. Albert said the cloud vendor will assume responsibility for security and that multifactor logins are expected to be part of the package. Staff told the board they had prepared comparables from other municipalities but cautioned that those numbers are not strictly apples-to-apples because of differences in size and feature needs.

A trustee moved to approve the resolution authorizing purchase of the BSNA cloud version; the motion passed on roll call.

Next steps: staff will finalize vendor contract terms and implement the upgrade according to the vendor and village schedule.
