Library board approves exploring use of donor funds for space plan

The Englewood Library Board voted to authorize staff to seek cost estimates and further explore using money from the library’s donors fund to pay for a space plan ahead of the city’s center redevelopment.

Library operations manager Carrie Watson told the board the donors fund balance is "about $46,000" and asked permission to use a portion of that balance to pay for professional space-planning services so the library can have a documented vision to present during broader development discussions. Watson said the work would help the library evaluate whether its current location, furnishings and layouts continue to meet community needs.

Board members discussed past uses and limits of the donors fund; staff and board members clarified that the money currently sits with the city, has been used in the past to supplement programs and that the library has discretion to request its use. The board debated whether an RFP for design firms or additional preliminary estimates would be appropriate and asked staff to return with better cost figures.

A motion to "approve getting more information" and pursue estimates for the space plan was moved and seconded and carried by voice vote with no opposition recorded. The board did not record a roll-call tally in the transcript; minutes will show the formal vote count.

Staff separately noted an upcoming maintenance closure with an estimated budget of about $50,000 to cover paint, deep cleaning and repairs; board members framed the maintenance work and the space-planning work as complementary actions in preparing the facility for future needs.

Next steps: staff will solicit cost estimates and return to the board with a clearer price and scope before any donor-fund expenditures are finalized.
