Committee approves forwarding purchase of boardroom AV system and table, not to exceed $40,000

The finance committee voted to forward a recommendation to the full Board of Education to purchase AV equipment and a conference table to create a permanent boardroom/committee room in the district office, with the total cost not to exceed $40,000.

Britney Oltendorf and Nick Kleinhofer presented the proposal and explained the rationale: after the referendum the district began holding meetings in the Performing Arts Center (PAC), but that space requires repeated setup and teardown for productions and live events. The proposed conversion would provide a permanent, wired conference table (mics, integrated cabling and adapters) and a dedicated streaming/display system so committee meetings and board sessions can be streamed and recorded reliably in-house rather than relying on a mobile laptop-driven setup.

Kleinhofer said an initial full-spec quote had been about $80,000; staff reduced scope and plan to handle installation themselves to lower costs. Committee members discussed table configuration (sightlines), monitor placement and overflow viewing (a cart with a TV for overflow or a hardwired feed into this room). One board member suggested swivel mounts for side monitors and the possibility of low-profile monitors for board positions.

Tom Barney moved to forward the purchase from multiple vendors with a not-to-exceed cap of $40,000; the motion was seconded and carried by voice vote. Staff will provide final quotes to the committee and proceed with purchases consistent with the approved cap and district procurement rules.

The motion authorizes staff to proceed with procurement up to the approved cap; the full board will consider the committee’s recommendation at its next meeting.
