Tyler Technologies demonstrates bus-tracking tablets to Southern Columbia facilities committee

Tyler Technologies representatives demonstrated a tablet- and RFID-based system to the Southern Columbia Area SD facilities and finance committee on Nov. 10, saying it can record student scans on and off buses, produce seating charts and reports, and target parents of students who were on a vehicle at the time of an incident.
The presenter said the system marks each student as "loaded" or "unloaded" in a Students tab, generates a student activity report filterable by run and vehicle, and provides an administrative view of the vehicle's advanced location to confirm where an accident occurred. "Any given point on the run, if somebody needs to know exactly who was on that bus at the time of the incident, we're able to provide that information quickly and efficiently," the presenter said.
Committee members pressed operational questions. A board member asked whether a driver can manually mark a student off the bus if a child fails to scan; the presenter confirmed drivers can use a manual load/unload button and the administration view flags manual entries in reports. The presenter also said the tablets download route data locally so drivers can collect scans in no-service areas; that data backfills the system when service resumes.
On automatic notifications, the presenter said the tablets do not yet auto-notify local police but that feature is under early discussion with development teams. For accidents in no-service areas, the district would continue radio-based notification and arriving personnel could remove the tablet from the bus to read student statuses on scene.
Tyler staff described additional features: turn-by-turn navigation to assist substitute drivers, configurable speeding alerts with vehicle-history logs, a dynamic routing tool to build ad-hoc runs (useful for evacuations), and parent/guardian verification at the stop. The company demonstrated how accommodations or emergency-contact phone numbers can be stored in student records and made visible to drivers when the district chooses.
On operations and procurement, a Tyler representative estimated 3–4 months from contract signature to being operational, with a project manager contacting the district within 30 days and on-site training provided. Tyler said data are stored in an AWS-hosted environment and that uptime and service-level details are specified in the contract; a separate Tyler staff member offered to provide the exact uptime percentage from the service agreement. Tyler provided a quote for 35 tablets, the number included in prior routing discussions for Southern Columbia.
The committee thanked the presenters and agreed to schedule a brief executive session after the meeting for negotiations. The presentation closed with staff noting Tyler will update the district monthly on new features and the district will coordinate next steps for procurement and pilot planning.
The district expects to consider next steps, including cost, contract terms, and an implementation timeline, at upcoming meetings.
