Oley Valley board schedules special meeting to prepare to fill likely December vacancy

Board legal counsel and staff explained that, pending certification of recent election results, current members remain in office through Dec. 1 and newly elected and reelected members will be sworn in at the Dec. 3 reorganization meeting. The board must follow board policy 4 to fill any vacancy, including publicly posted notices and a week’s notice to candidate interviewees. “Because of the time that takes, there is not at least 1 week between the December 3 meeting and the December 8 meeting,” a district staff member said, urging the board to consider moving or adding a meeting to satisfy the notice period.
Board members considered options including rescheduling the Dec. 8 regular meeting, holding a special meeting after Dec. 10 and choosing a date at the reorganization meeting so all newly seated board members could be present. After discussion the board agreed to set a special meeting date at the Dec. 3 reorganization meeting rather than vote on a final date on Nov. 12. Chair (speaker 3) said, “We moved to December 10,” and later confirmed the plan to finalize scheduling at the reorganization meeting.
The decision was presented as a procedural step to ensure compliance with the district’s policies; the staff member noted the board has 30 days from the date of a vacancy to appoint a replacement. The board also discussed logistical concerns including holiday schedules and the availability of members who cannot speak now due to policy restrictions prior to taking the new seats.
Next steps: the board will finalize the special meeting date and the process for public notice at the Dec. 3 reorganization meeting, and staff said they will publish required notices once the vacancy is formally acknowledged.
