Consultants told the board the proposal is divided into three parts: due diligence (geotechnical investigations and topographic surveys), grandstand and press-box replacement, and an a la carte set of services for future track and field work, including an optional lifecycle analysis if the district considers synthetic turf. Ernie (presented to the board as a consultant) said the district’s immediate priorities were lighting and grandstands so fall sports and the 2026 spring season would not be delayed.
Why it matters: the district’s consultants and a lighting vendor outlined both the technical case for LED fixtures — lower energy use, tighter glare control, dimming and remote scheduling — and the schedule and budget implications for getting the project to construction this year.
Andrew O’Connell of Musco (the lighting vendor) described the proposed LED system’s technical features and warranty. “It’s an instant on and off just like we would flip a switch in here to turn the lights off,” O’Connell said, noting dimming and remote scheduling via Musco’s Control Link. He described Musco’s 25-year warranty and remote monitoring that can flag fixture issues every few hours.
Consultants presented the current cost picture: Musco’s revised equipment-and-installation proposal was presented at about $501,493.13 after adding a required bonding cost; the consultant’s review of ELA services was listed at $35,965, producing a total project estimate in the neighborhood of $537,000. The team noted a previous budget estimate of $552,160, leaving an approximate positive balance of $14,000 ahead of permit and contingency costs.
Schedule and next steps: consultants said geotechnical and topographic surveys typically take six to eight weeks; production of lighting equipment is expected to take eight to ten weeks once ordered, with a delivery window the team targeted for late July and installation aimed for the August timeframe to accommodate fall athletics. The consultant said permitting and final electrical design would run in parallel once the board gives a notice to proceed.
Board action: the governing board approved a separate design and consulting contract with Adelaide Sports for $163,850 to advance engineering and coordination work. The motion (moved and seconded at the meeting) passed on a roll-call vote of board members present.
What wasn’t decided: the board did not yet approve the Musco purchase contract at this meeting; consultants said the Musco agreement will be on the agenda at the next meeting once the revised vendor contract and performance/payment bonds are finalized. Consultants also flagged that the timing to start work depends on completing geotechnical investigations and the inspector/agency reviews required for permits.
The board’s approval of the Adelaide Sports design contract sets the district up to begin the geotechnical and permitting work that consultants say is necessary to move lighting and grandstand repairs forward.
The board adjourned with the consultants scheduled to return with final contract documents at the next meeting.
