Board hears HF Lens proposal to size high‑school chiller; item moved to Sept. 18 agenda

District administrators described a proposal to hire HF Lens, a mechanical engineering services firm, to size a replacement chiller for the high school and to produce the specification needed for bidding.
An administrator said HF Lens would prepare specifications and perform construction administration services, including up to three site visits to observe installation and to make sure the contractor installs the systems according to the construction documents. “Under 11, perform construction administration services during construction to observe the contractor installing the systems in accordance to the construction document… up to 3 construction site visits are included,” the administrator said.
Board members asked whether HF Lens would supervise installation, whether site visits were included in the quote, where the chiller would be located, and what the installation timeline would be. The administrator replied the chiller will be placed on the side of the building (not on the roof), said the firm expects to have specs within a month or so and that spring installation was realistic, and noted the vendor would typically supervise installation and provide multiple site visits.
The petitioner also reported interim noise mitigation steps have reduced the measured noise levels by moving insulating materials; staff said they hoped further improvements would continue as weather cools.
The board voted by voice to add agenda item 13.1 (the HF Lens chiller proposal) to the Sept. 18 voting agenda so the board can consider formal contract or procurement steps at that meeting.
