Board hears bond-project planning update; administration seeks professional services and clearer reporting materials

District project staff briefed the Sheridan SD 48J board on planning and procurement steps for the bond program and outlined near-term actions to secure professional services for architectural work and work-package structuring.

Presenters described a shortlist of firms under consideration to support architecture, project management and security components, and explained a four-part measurement plan and milestone-based approach to move from preliminary schedules to cost-estimating and detailed work packages. Administration said cost estimating work with architects is expected in December and that those estimates will inform which items must be held back or funded from bonds versus other grants.

Board members repeatedly asked for presentation materials that are readable in the board packet and requested larger-format attachments or printed line-item documents for future meetings. Administration agreed to include clearer attachments and to provide a more accessible program schedule and budget narrative.

The chair proposed a dedicated work session in January so the board can review conference takeaways and project planning in greater depth rather than rushing through them in a regular meeting. That work session was proposed for January or early next year depending on members’ availability.

The presentation also flagged grant work already underway: administration said staff are pursuing federal and other grants to stretch bond dollars and called out shared grants with partner districts, including an outdoor-school grant and credit-recovery funds shared with partner districts.

Next steps identified by staff include finalizing the shortlist of professional service firms, producing readable attachments for board review, completing December cost estimating with architects and bringing revised budgets and a proposed work-session date back to the board.
