Operations staff presented two procurement options: run a new RFP locally and face multi‑month lead times, or use an OSC‑procured proposal (a contract the high school council vetted on behalf of members) to shorten the schedule. The superintendent’s operations contact said a new RFP would likely push ordering into February with a three‑to‑four month lead time, risking delayed summer completion; using the OSC procurement could secure parts earlier.
Staff reported they negotiated a revised equipment plan that reduced costs from about $115,000 to roughly $99,000–$100,000, noting a $15,000 savings from the earlier estimate. They asked the board to authorize bringing a formal contract back for approval at the Jan. 7 meeting so work could be scheduled for early June.
Board members discussed the timing and supported returning the recommendation in January. No contract was approved Dec. 17; the board will consider the formal procurement and vote in January when the proposal is presented for approval.
