Policy committee weighs how student ex officio members will participate in board meetings

The policy committee of the Ithaca City School District met to discuss draft language for student ex officio members, with the chair saying the board needs to define what the role should do before finalizing a policy. “The law states that ex student ex official members are at the table engaging in the dialogue, participating in the discourse,” the Chair said while urging the committee to clarify limits and expectations.
Student representatives told the committee they were uncertain how an ex officio member would differ from an existing student representative. A student representative said the group “had some trouble understanding… the real difference between ex officio and student rep,” and urged that the board first clarify the role so students can then shape outreach and support needs.
Committee members noted differences between schools: LACS has roughly three student reps for about 180 students while Ithaca High has four reps representing about 1,350 students, a disparity members said will require different outreach and selection processes. The Chair suggested the district will likely need two processes tailored to each school’s size and student body.
Members agreed on a two-part approach: (1) the policy committee will define mission-level role buckets (what the board expects an ex officio member to do) and (2) schools will design selection/outreach consistent with that definition. To draft that language the committee agreed to use a shared Google Doc, designate a small editing team (including the Chair, Tricia and Dan) as editors, and invite students to be commentators on the draft.
The committee also discussed logistics and equity concerns — for example, outreach strategies to reach less-engaged students and transportation barriers that can leave some students missing early classes. Committee members asked staff and student reps to bring examples of how reps currently communicate (morning meetings, weekly emails, suggestion boxes) so the policy can reflect actual practices.
Next steps: editors will prepare a working draft and return policy language and student feedback for the committee to review by the Jan. 6 policy meeting. The committee emphasized that the policy is expected to be slow-moving and likely in place by spring rather than immediately adopted.
