Commission narrows intergenerational dance to 70 tickets, details accessibility and setup plans

The Gilroy Youth Commission finalized plans for its intergenerational dance and commission recognition dinner, reducing the ticket cap to 70 to ensure accessible floor space for participants using walkers or wheelchairs.

Staff member (speaker 3) explained that cutting the cap from an earlier 84 to 70 allows for two fewer tables and more room for seniors to move. "When I realized how many people need to be fit into the space…we're talking walkers, we're talking canes, possibly wheelchairs," the staff member said, explaining the safety and comfort rationale.

The commission set a 4:00 p.m. setup meeting at the senior center for decorations and table covers, with dinner beginning at 6:00 p.m., a Jeopardy-style game during dinner, and a dance from 7:00 p.m. until an 8:30 p.m. end. Two photographers will take entry photos that will be printed and placed in keychain keepsakes as take-home gifts; staff and volunteers will also operate a computer station for printing and assembling the keepsakes.

Committees were asked to meet once more before the event (Wednesday or Friday after school were discussed) to finalize decorations and photo logistics; the staffer asked for volunteer support Wednesday for ceiling and wall decorating and full setup on Friday. The commission also discussed seating as first-come, first-served to allow seniors who arrive together to sit together.

No formal motions were required to adopt the logistical plan; staff will follow up with a schedule and volunteer assignments.
