District staff outlines reorganization plan and hiring timeline for clerk role

District staff presented a reorganization plan and updated job descriptions for administrative positions, saying the changes would redistribute duties, add cross-training and clarify oversight while the district hires a new business manager/district clerk.
The plan matters because the clerk role manages budgets, state reporting and drawdowns as well as many day-to-day financial tasks that affect every school building. A vacancy in that post, the staff member said, requires careful transition planning so reporting and drawdowns are not disrupted.
"We just got it yesterday. We'll see if it's somebody that we wanna move forward with interviewing," the district staff member said of the lone application currently on file. The staff member also said Don and another senior clerk will cover essential responsibilities while the district waits to see if additional applicants apply in December or January.
Board members asked for practical safeguards during the transition. For example, one board member asked that building administrators continue to be the first approvers for purchases tied to their budgets and that the district provide clearer coding and requisition procedures for iVisions, the finance system used for entering invoices and line items.
For hiring, the group agreed to involve school office staff in interviews and to request that at least one board member sit on the panel. "Can we get Anne, Carly and Lisa involved in that?" a board member asked; the district staff member agreed and said the negotiation committee may handle the final contract when a candidate is selected.
Speakers also clarified supervision and review authority: a board member said the business-manager/district-clerk position will report to the superintendent and that administrators will supervise day-to-day performance. The panel noted that administrators' contracts are not collectively bargained like teachers' contracts and that administrative contracts will therefore be handled via the district's negotiation process.
The district did not provide a salary on the posted job description during the meeting. The staff member said they would collect more information for the board and follow up with recommended job-description edits, an updated hiring timeline and candidate interview arrangements in coming weeks.
The meeting closed with staff saying they would solicit outside help from state clerk associations and retired clerks if needed to ensure continuity before the current clerk's departure.
