Board flags utility bills, contract credits and grounds issues during facilities update

Maintenance staff said inspections were largely complete and that minor work orders are being handled, but they highlighted several items that require follow‑up: a near‑$400 electric bill at the Pilgrim’s Building, a roughly $300 sewer charge attributed to Moorefield Middle, and uncertainty about how a $10,000 filter credit was posted over a multi‑month billing period. Staff committed to investigating the utility bills, locating any running fixtures or meter issues, and producing documentation that shows how the credit was applied.

Members also discussed equipment needs — for example, the district has been renting a lift after a breakdown and may pursue a lease‑to‑own arrangement for a used unit to reduce recurring rental costs. Staff reported the installation of a large (about 1,000‑pound) smoker at Warfield High School will require volunteers to move it through a doorway and stand it upright. A planned sidewalk from the elementary school to a nearby building was not completed this summer and remains pending.

Grounds work and the mowing contract drew particular scrutiny: board members said parts of the grounds (including the hill near East Hardy Elementary) need better upkeep and requested clearer mapping of vendor responsibilities. Staff and board members discussed whether the current contract can be modified or rebid, noting many contracts include a 30‑day clause for changes. No formal contract action was taken; staff said they will prepare information and, if necessary, put a modified solicitation on a future agenda.
