The Facilities Committee on March 10, 2025, discussed creating a districtwide facilities dashboard to give board members a color-coded, at-a-glance view of school site conditions, outstanding work orders and major projects. Chair said a dashboard showing red/orange/green status and counts of open work orders would help the board prioritize staffing and capital needs.
Jeff, a facilities staff member, told the committee the district already uses a referendum dashboard and a maintenance platform (SchoolDude / MaintenanceDirect) and could expand reporting. “You could have 15 work orders and 10 of them are a box of paper,” Jeff said, arguing filters and consistent input are needed so the dashboard reflects major facilities issues rather than routine requests.
Board members recommended monthly dashboard updates and asked staff to present a few options at the next meeting. Committee members suggested the dashboard should track the number of open work orders, average time open, and high-cost recurring repairs so the board could spot early warning signs and staffing needs.
Staff also proposed tagging major HVAC and mechanical units with QR codes linked to the maintenance system so repair and replacement costs could be trended by asset. Jeff said that approach would allow the district to quantify lifecycle costs and inform replacement decisions.
The committee directed staff to develop several dashboard mockups and filtering options for review at the next facilities meeting. No formal vote occurred; staff agreed to return with examples and a recommended update cadence.
