Amarillo — The City Council approved a contract to streamline audio-visual services for ticketed events at the Amarillo Civic Center, a move staff said will speed procurement and could reduce event costs.
Beau, the Civic Center representative, explained the request: the contract covers ticketed events routed through the city’s Panhandle Tickets box office and would provide a primary vendor for sound and lighting when city inventory and timelines mean outside vendors are needed. The RFP solicited discount, revenue-share or combined proposals; two strong offers remained after evaluation and the recommended vendor combined a 50/50 equipment discount with a revenue percentage for the city.
Beau said the contract would not apply to non-ticketed banquets or excluded arts and sports groups that are mid- or in-season and may provide their own equipment; promoters who can show they are fully self-contained would remain exempt. Staff estimated impact on a past season: roughly 37 events could have used the service, with discounts and revenues in the $12,000 range for the twelve events identified. Council members asked about competitive protections and the ability of promoters to negotiate if the vendor’s price was higher than market; staff said the vendor would negotiate rider and scope directly with promoters and that contractual discounts and storage of equipment in Amarillo should lower costs and improve availability.
Council approved the contract on a council motion and voice vote.
