CAC pushes a one-time mailed welcome packet and improved meeting timestamps to boost resident awareness

Members of the Port Richey Citizens Advisory Committee backed a proposal to mail a one-time welcome packet to all residents and to improve online meeting accessibility through timestamps and short synopses.

S2 raised the idea that printed materials reach older residents who may not use online platforms. S1 proposed sending the packet to 100% of city residents once, then handing a copy to residents at utility sign-up. “This gets mailed down to a 100% of the residents 1 time,” S1 said, describing the plan for an initial universal mailing followed by targeted distribution.

Committee members discussed costs and noted the U.S. Postal Service offers discounted municipal postage rates that can substantially reduce per-piece expenses; S3 reported savings in a wide range and suggested contacting the city purchaser to get precise rates and routing. “The post office offers special pricing for qualified municipalities…which can save 54 to 80% on mailing costs,” S3 said; the group agreed to verify the rate and pursue municipal mailing options to lower printing and postage costs.

The group also debated creating meeting synopses and placing time-stamped agenda item links on the city’s online portal so residents can skip to items of interest. Some members warned that synopses might reduce live attendance; others argued that accessible timestamps and short summaries would help busy residents find relevant segments without watching entire multi-hour meetings.

Next steps include confirming USPS municipal rates through the city purchaser, having S1 and Sal refine the packet, and presenting the proposal to the city liaison and council for approval of a one-time mailed welcome packet.
