The Whitley County Community Corrections Advisory Board heard a virtual demonstration March 5 from Tony, a representative of Case Space, of an AI‑enabled case management product that records and transcribes case manager‑client conversations and produces near‑real‑time summaries and automated case plans.
Tony described the tool’s main features, saying, “We are a case management tool… it creates a transcription where every word is documented” and that the vendor’s AI assistant—he called it “Casey”—can be trained with an agency’s policies and prompts to produce summaries in the format the agency prefers. He demonstrated automated case plans, time stamps tied to objectives, translation of conversations into English, and CSV/Excel export for reporting.
Board members pressed Tony on data security and who could see AI evaluations. Paula asked, “What are the concerns that you’re hearing as far as using AI… for the notes and the case plan?” Tony replied that the system is CJIS certified and has server and backup protections, but he urged agencies to control access through login and password policies. A committee member warned that supervisors using AI feedback for personnel evaluations could make officers uncomfortable; Tony said feedback parameters can be restricted and edited locally and that recordings are retained for human review.
Members also discussed practical matters including accepted file formats (Tony said PDFs and phone images with OCR are supported), CSV export for Excel, and the option to make specific conversations private. Tony summarized that the product is intended to reduce time spent on documentation: “It allows the case manager to be able to do a lot more with less.”
The board did not take action but asked staff to gather firm cost figures and arrange a live demonstration for members. The chair said the board wants numbers and a staff recommendation before deciding whether to pursue the product further.
Next steps: staff will collect vendor pricing and usage scenarios and present a recommendation and a possible in‑person or live demo at a future meeting.
