Board members compared net pricing, trade‑in allowances and warranty features. The John Deere bid listed a machine price of about $399,008 less a $53,000 trade allowance (net ~$346,808 as presented on vendor paperwork) while the Caterpillar quote, after a $40,000 trade and an $8,000 parts credit, was presented by the board as a $349,100 net purchase price. The budget committee and road superintendent recommended the Caterpillar machine for parts‑credit value and warranty coverage.
A motion to purchase the Caterpillar 140M all‑wheel‑drive motor grader from the recommended vendor was made, seconded and carried by roll call; the board specified the purchase would be paid from the inheritance tax fund consistent with prior practice for one‑time capital outlays.
