The Southampton County Planning Commission used the start of its Nov. 30 meeting to introduce two staff changes. The chair introduced Reagan Prince as the commission’s new interim director of community development and planning; Prince said it is “a pleasure and honor to serve as your secretary for [the] planning commission.”
The chair also introduced Tina Bradshaw as administrative assistant to the county administrator and the commission’s new recording secretary. Bradshaw described how draft minutes are prepared and archived: she drafts the summary minutes, fills in motions/first/second and vote results, and relies on the county’s livestream recordings and automated captions/transcripts to confirm accuracy. She told commissioners the archived livestreams and transcripts are accessible on the county website and said she will include a boilerplate note in future minutes explaining how to find the verbatim record.
Bradshaw said she does not use automated AI to produce the summaries for the official draft: “We do not utilize AI. It is me.” She explained that the livestream vendor’s transcript is an unformatted automated product that staff use for reference but that the official draft and eventual signed minutes are prepared and formatted by staff before they are placed in the administrative record.
Commissioners welcomed both staff members and agreed that having a consistent in-person recorder should improve the formatting and timeliness of future draft minutes.
