Representatives from a telecom vendor presented a Cloud Voice phone-replacement proposal to the board, outlining features, pricing, transition options and integration with existing internet services.
The vendor described a per-seat hosted model (61 seats identified on current bills) with an expected per-seat charge of about $23 and an overall expected monthly increase for county telecom service of roughly $138. The package the vendor described includes auto attendant(s), call recording, a MaxUC mobile app (which lets staff mask personal cell numbers as office numbers), and provisions to replace or upgrade phones at end-of-life as part of the operating contract.
Commissioners asked about 911 lines, call forwarding, paging, training, buyout clauses and contract length (36 vs. 60 months). The vendor said 911 trunks/analog lines would remain supported as configured, recommended a site audit to confirm exact phone counts, and agreed to add a clause to the master service agreement (MSA) addressing early exit/buyout. The vendor also agreed to send a redlineable contract (MSA) and updated pricing within two weeks for county legal and staff review. The board discussed coordinating a managed-IT-services presentation after the March 4 bid opening for the county's MSP RFP.
