The motion to accept the committee’s recommendation was made by a committee member and seconded; the board recorded unanimous approval.
Promotions committee and staff presented licensing details and logistics. Staff (Speaker 4) said the licensing company confirmed rights to Star Wars films released after 2015 and that the licensing fee for the earliest eligible title is about $350. “The licensing fee for the earliest eligible film is approximately $350, so I think that's very manageable,” Speaker 4 said.
Some board members raised logistical concerns about late finish times for certain films. A member involved with events (Speaker 7) cautioned that some Star Wars titles run over two hours and could run past midnight, complicating cleanup and public‑works scheduling. "This one specifically is two hours and [roughly] nine minutes," Speaker 7 said, noting potential effects on attendance and post‑event operations.
Committee members said they plan to rely on vendor participation and sponsorship forms to cover screening costs. The board agreed to proceed on the assumption that sponsorships will cover licensing and event expenses; no DDA budget allocation was required for the approved motion. The chair called the roll to record the vote and announced the motion carried.
Next steps: the promotions committee will finalize sponsorship outreach, confirm vendor participation and schedule marketing. Staff and the committee will coordinate required permits and DPW logistics before the summer screenings.
