District staff say Frontline HR/payroll rollout is largely on track; benefits interface expected by August

Marin (Trujillo), chief of staff and Frontline implementation lead, said testing shows Frontline can hold the payroll and position‑control workload and that the CFERS finance interface is expected to be ready for the first payroll cycle. The health and benefits (HSS) interface will not be ready for the first July payroll but is expected to be operational by August, which will end manual workarounds for benefits processing.
Implementation staff outlined a phased plan: a July 23 payroll covering about 1,150 employees will be the first major live test, followed by certificated monthly payments and broader employee groups in early August. Leaders said vendors (Frontline and the systems integrator) will provide on‑site surge support for the key payroll cycles and that the district has established a 'hyper care' call center, ticketing and off‑cycle check processes; staff committed to making employees whole quickly if pay errors occur.
Staff also described pay‑compare testing that has surfaced individualized payroll discrepancies (some related to federal tax calculation differences), and said they will reach out to affected employees before their first live check. Chief implementation staff emphasized that Frontline enforces best‑practice business rules and will surface legacy manual errors rather than hide them.
The board asked whether the district had vendor surge capacity and how summer payrolls (which remain in the legacy system for some summer programs) would be handled; staff said Frontline, the integrator and additional case managers will be onsite for key cycles, but some summer school pay will still be processed in the legacy SAP/Empower system.
No board action was required; staff said they would continue monitoring and share updates.
