Facilities staff credit Follett software with smoother scheduling, utility tracking and cost savings

Mister Cunningham, director of facilities (buildings and grounds), told the Webster Central School District board on March 10 that the district's adoption of Follett software (formerly called Master Library) has improved operational efficiency across event scheduling, HVAC activation, staffing and utility tracking.
Cunningham said the scheduling component coordinates weekend and evening events, automatically notifies HVAC to activate systems as needed, and helps allocate staffing and services such as traffic control, plowing and field setups. He described the utility‑tracking module as a way to evaluate the payback on energy-efficiency investments (lighting, boilers) and to quantify the cost of running programs during breaks.
He emphasized the day-to-day work-order system benefits: teachers and administrators submit tickets that are assigned to building-level or buildings-and-grounds staff, with notes and email notifications to requesters. The system also logs fleet maintenance and helps identify vehicles approaching end-of-life for cost‑benefit replacement decisions. "We've realized a lot of cost savings with it," Cunningham said, describing more accurate data for decision-making and better communication across teams.
Board members thanked buildings-and-grounds staff for their work in a difficult winter season and acknowledged the software's role in streamlining operational communications.
