Committee presses mayor's office for clearer appointment packets, asks for standard 'statement of interest'

Committee members spent substantial time on March 31 pressing the mayor's office to improve the appointment packet after finding inconsistent expiration dates and duplicate write-ups.

A committee member flagged that several new appointment entries in the packet showed expiration dates of Aug. 22, 2026, and asked whether those new associate appointments were intended to be only one-year transitional terms or full three-year terms. The committee requested clarification from the mayor's office and the chair said he would email the mayor about errors in write-ups.

To reduce back-and-forth, the committee proposed that the mayor's office include, in the packet for newly appointed or reappointed members, the existing expiration date, the proposed new expiration date and a short written statement of interest from the nominee. One committee member said the mayor's office should supply a simple form that contains two or three sentences and a signature indicating the nominee's willingness to accept the appointment. The committee agreed that stipended or department-head appointees should be interviewed in person, but that many associate appointments could be handled with the written statement on file to avoid unnecessary repeated outreach by the clerk's office.

Staff told the committee that certificates showing council confirmation were attached to the packet for nominees who had already been confirmed by the full council but had not yet taken the oath; staff will follow up to schedule oath administration. The committee asked the mayor's office to correct packet entries before the next appointments meeting on April 14.
