Board members asked about cost structure and ongoing fees; the discussion noted an upfront fee (presented at roughly $36,500 for the selected package) and the expectation of annual update fees and possible additional charges for discretionary changes.
Steve Benick (district finance) confirmed levy funds are available to cover the contract. Board members asked whether the district had compared other vendors and whether processing or add-on fees might push costs higher; staff described the principal cost as the initial upload and formatting work, with the recurring annual fee intended to cover legal updates.
After questions, a motion to accept Dr. Miller’s recommendation passed by unanimous vote.
Board members said the contract will help standardize policy presentation, increase public access to district policy materials, and reduce legal risk by keeping policies aligned with state law as it changes. Staff will proceed with implementation, including uploading existing policies into the Neola system and confirming annual billing terms.
