Summary
The Lake County board approved Amendment 4 to its PlaceWorks agreement, adding $9,970 (reduced from a $29,873 request) to fund webpage and document accessibility work to meet Department of Justice standards; board members asked staff for a detailed invoice and clarified contract exhibits and totals before voting 5-0.
The Lake County board approved Amendment 4 to its agreement with PlaceWorks, adding $9,970 to the contract to fund webpage and document accessibility improvements intended to meet Department of Justice standards.
The chair reopened agenda item 7.4, and the CAO told the board that staff negotiated the requested increase down from $29,873 to $9,970 and recommended moving forward, while noting the change is contingent on IT providing required components. "They were able to reduce the amount of the updating the web page from 29,873 to 9,970," the CAO said.
A board member said they planned to approve the amendment but asked for more detail on what the county is purchasing, requesting a detailed invoice that breaks out software costs, anticipated hours and work. "I would like to see a little bit of a, detailed invoice on what exactly are we buying and paying for," the board member said, adding that the planning department budget would likely cover the expense.
Mister Guintabano, a staff member who presented the motion language, walked the board through proposed textual corrections: designate certain uploaded proposal documents as Exhibit D (instead of Exhibit E), revise the referenced increase from $29,873 to $9,970, correct the contract total to $2,322,564.04, and change an internal reference from "amendment 3" to "amendment 4." Guintabano stated the exhibit d proposal is incorporated as of 09/19/2023 and recommended approval "as amended." The motion language presented was: "approve a motion to approve amendment 4 of agreement between the County of Lake and PlaceWorks to increase compensation by $9,970 for a total compensation of compensation not to exceed 2,322,564.04 for planning services as amended and authorize the chair to sign."
A board member moved to approve the amendment as amended and the CAO seconded. The chair called the question; the board voted in favor and the motion carried 5-0.
The chair asked staff to pass along the board's request for a more detailed invoice and to notify the board if the IT contingency affects the scope or cost. The meeting concluded at about 5:00 p.m.
The amendment authorizes a $9,970 increase for PlaceWorks to perform accessibility-related updates; the record reflects the board’s approval and a board request for an itemized breakdown of the work and costs.
