Claiborne County board approves claim docket, asks for clearer invoice descriptions

The Claiborne County Board of Supervisors voted April 6 to approve the county’s claim docket after adding two items and discussing several vendor invoices in detail. The board added a $4,333 payment for attorney Sanders and a $1,800 payment to After and After Tree Service before approving the docket by voice vote.
Board members focused on the line-item descriptions. The board president said more detail is needed on the claim docket so reviewers know what each entry covers: "When they are doing the description, on the claim docket, we need more descriptive information other than just removal of debris," she said.
Staff and a vendor clarified that a $32,275 invoice listed as "remove debris" was not debris removal: it is the first contract payment (invoice A) to STC LLC for the Patterson basketball-court project; debris removal had been excluded before the purchase order was issued. Staff said a second invoice (invoice B) will follow when the project is complete, covering fencing and a retaining wall.
The board also discussed a $51,004.56 LaneLine LLC invoice for striping Grand Gulf Road. Staff explained that the amount will be split between funds and processed as two payments; the board requested the split be reflected in budget reports and any required budget amendment.
The board approved the claim docket after the clarifications and after members confirmed that the additions had the appropriate supporting purchase orders and receiving reports. The president said supervisors will expect clearer vendor descriptions in future dockets to reduce confusion and audit risk.
