School board weighs cashless payments after parent complaints; vendor fees prompt new committee

District finance staff updated the board on efforts to migrate bookkeeping and parent payments to a new platform and described the vendor fee structure.
The business office said the vendor fee is 4% plus $0.10 per item for card payments, which some parents told the board feels costly when multiple children each incur fees. "The fee is 4% plus 10¢ per item," the finance presenter said, noting that the fee goes to the vendor and the district pays for the product.
Administrators said they do not intend to mandate a cashless approach immediately and stressed the need to publicize and educate parents before any formal requirement. Board members proposed a dual-purpose exception committee to scope payment policy, consider equity concerns for parents who lack cards or reliable Wi-Fi, and address related issues such as iPad damage accountability.
Board members volunteered to serve on the committee and asked staff to include parent representatives and to bring recommendations to the next meeting. Administrators also committed to check whether the vendor or district cyber insurance covers potential breaches.
