Wilson County Fair Board members spent a substantial portion of the meeting discussing replacement of the Expo Center’s seating inventory, storage limitations and how a partial donation offer would affect rental capacity.
Staff reported the facility currently has about 1,000 white folding chairs with roughly 300 still in good condition and that banquet‑style replacement chairs would require more storage space and handling equipment. Board members and staff explored costs: one staff presenter said banquet‑style non‑folding chairs were in the $40–$45 range, while another staff member reported a supplier could provide 500 lifetime‑style chairs at roughly $32–$33 each.
“We’ve got half of them accounted for,” one staff member said of a vendor offer to supply 500 chairs at a favorable rate. Board members raised storage and handling concerns: replacement chairs would stack differently and might not fit existing dollies or racks, increasing on‑site storage needs.
Members discussed operational implications for rentals and marketing; the county currently markets availability based on 500 chairs per hall, and mixing chair types could complicate rentals and inventory management. Several members suggested adding a procurement item to the next agenda so the board could consider purchasing replacement chairs and the logistics of surplus disposal or resale of older chairs.
No binding procurement decision was made at the meeting. Board members asked staff to prepare an agenda item with samples, pricing, storage options and recommended funding sources for a future decision.
