Chartered Clubs Committee reviews revised bylaws template; roster reporting moved to treasurers

Nick Turner, chair of the Chartered Clubs Committee, opened the meeting and invited Casey, the recreation manager, to present a revised bylaws template for chartered clubs.
Casey, recreation manager for Sun City West Recreation Center, said the template removes the separate membership‑roster section and instead requires the roster as an attachment to the CR‑7 annual financial report, shifting that submission responsibility to club treasurers. “We were able to get the bylaw template completed,” Casey said, adding that officer‑meeting requirements were clarified and set to mandatory to create consistency across clubs.
Casey told the committee the revised document is a template and staff will work with clubs over the summer to review officer descriptions and to avoid abrupt or unexpected changes. Casey also said the planned website presentation is delayed: the rollout date is “to be determined” while staff coordinates with IT.
Committee member Denise asked whether the bylaws would have to go to the membership for approval; Casey responded, “No. This would be this is actually the third time we'll be doing this. So as soon as we're done, we're gonna call in the president and have them sign it.” Casey advised clubs that if they wish to change bylaws now they should submit limited amendments rather than request a full document rewrite.
What happens next: Casey said the finalized template and a link to the digital document will be attached to her next email to club presidents and leaders. Staff (Casey, Christy, Constantino and Lara) will support clubs through summer meetings and the committee will have another opportunity to review before formal recommendations are sent to the governing board.
