Casey, Sun City West’s recreation manager, told the Charter Clubs Committee that staff will begin outreach to clubs in May to collect officer-transition materials and club bylaws, and that four clubs had not yet turned in those materials (one submitted the day before the meeting).
"If you're not familiar with it, you can go back to a couple of our meetings or my emails," Casey said, urging liaisons and clubs to work with staff on officer transitions. Casey said one outstanding financial form was also submitted recently.
Casey clarified that when clubs hold their annual free socials, certain equipment is not free: "If you need the griddle, it's going to be charged because you're paying for the propane. If you need canopies, those will be charged as well," she said, stressing that clubs should plan for associated fees.
She also reminded clubs that flyers may not be placed on cars or facility property without rec-center approval and encouraged clubs to use the Broadcast Club channel to share event details. Casey promoted a free Broadcast Club event scheduled for April 17 from 2:30–5 p.m.: "It's free. You just show up and enjoy yourself," she said.
Liaison David highlighted several club activities and fundraising achievements: the pickleball tournament raised $60,000 this past year and over $400,000 since it began; the tennis club's spring charity tournament had 121 players, 94 matches and 1,612 games and donated $2,750 to local causes.
Committee members also praised Computers West for building an electronic system to track class attendance and payments for instructor-led classes, which could reduce manual cash handling for clubs that charge admission.
Administrative notes: Governing Board President Christine Novella told attendees the committee-application deadline is May 15. Chair Nick Turner said May and possibly June committee meetings might be canceled if there are no agenda items and requested staff provide monthly reports by email if meetings are canceled.
The meeting closed after a brief public-comment reading and local announcements about RH Johnson Pool food service and signage improvements.
