The committee set the event hours for 10 a.m. to 2 p.m., with setup beginning earlier (organizers said some volunteers arrive as early as 7–8 a.m.). Committee members agreed to staff the ERC booth in one-hour shifts and to circulate a sign-up sheet before adjournment to fill coverage and cleanup slots. The committee also discussed enlisting student volunteers and community groups to assist with plant handling and teardown.
Members outlined outreach and marketing plans: e-notifications to the town mailing list, Facebook posts (including fire and police department pages), two weeks of banner placement around town before the event, and flyers to local schools. Amy noted the council’s direction to keep paid marketing minimal and prioritize online channels and the town email list.
Organizers also detailed onsite programming: GFL will bring a recycling truck and provide hands-on demonstrations; the Sea Trail Garden Club is expected to help with plant swaps; and the Loggerhead 5K on the beach that morning may funnel participants to the park event afterward. Committee members emphasized the booth will include literature about recycling and a hands-on display of recyclables.
