Agency reminds districts of state match letters, claim deadlines and upcoming application packet

Summary
State director and compliance staff told districts to expect state match funds deposited to the 143 Central Cafeteria account, reminded SFAs of claim filing windows (60 days for upward adjustments, 30 days recommended for decreases) and announced the 2026–27 application packet opens April 15 with a suggested submission date of June 30.
Josh Nelme, State Director of School Nutrition, and Rhonda Mead, Senior Compliance and Data Manager, used the April call to walk districts through recent funding and administrative timelines.
Nelme said state match letters were mailed March 20 and that, per a recent wording change, the funds will show as deposited to the 143 Central Cafeteria account so local finance teams can reconcile more easily.
"You should now receive a letter around the same time the funds are deposited," Nelme said, explaining the change was requested by the finance team to reduce journal re‑entries between accounts.
Mead thanked districts for submitting claims promptly and reiterated claim deadlines: original and upward adjustment claims that result in payment must be submitted within 60 days of the claim month; when decreasing a claim districts should file within 30 days (the agency requests doing so). If claims are not filed within 30 days the state will begin reminder email outreach at 30 and 45 days.
Mead also announced the 2026–27 application packet will open on April 15, 2026, and encouraged SFAs to submit by June 30, 2026 so applications are in place before the July 1 start of the new school year. She reminded attendees that the application packet functions as an extension of the program agreement and that SSO site applications must be submitted two weeks before a site's operation date to allow approval processing.
The guidance items were framed as operational reminders to help SFAs manage cash flow, procurement and contract timing as they prepare for the next school year.
