Board approves new chaperone/volunteer background-check process routed through prosecutor's office

The Preston County Board of Education voted on Aug. 25 to approve Brewston School’s chaperone and volunteer list and discussed updates to the district’s background-check process for volunteers and chaperones.
Superintendent Martin explained that the district originally planned to run background checks through the sheriff’s department but learned the sheriff’s office could not provide the full NCIC-level search the district wants. In coordination with the prosecuting attorney’s office, the district will now have parents complete a prosecutor-provided background-check form, submit a $5 payment to the prosecutor’s office (schools will accept and forward the payment and form on parents’ behalf), and district personnel staff will deliver batches of forms to the prosecutor’s office for processing. Martin said the prosecutor’s office will return a simple result indicating whether there is a concern on the NCIC check.
The board discussed recordkeeping and receipts for cash payments and asked that the district prepare a triplicate receipt system and an Excel database to track who has current background checks (checks are required under the new policy once every three years). Administration also said it will print Vector Solutions training verifications and maintain records of required annual training.
Motion to approve the chaperone and volunteer list and the process amendment carried on a voice vote 5-0.
