Farrin Council adopts standard vandalism reporting form to track repair costs

The Farrin City Council voted April 15 to adopt an updated vandalism incident reporting procedure and form aimed at standardizing how departments document vandalism and record associated repair costs.
The Chair said staff had not been consistently tagging vandalism-related costs and that the new form will require photo documentation, incident details and a tally of staff hours so the city can measure what it spends on recurring vandalism. "We can fill this form out... and then that way, when they're entering in any costs for repairs, where she's gonna tag that as a vandalism item," the Chair said.
Parks and public-works staff described recurring theft and damage to swings and signage and said a consistent form will make it possible to assign charges and order replacements without confusion. One staff member said, "I spent about $600" on removal and repairs in the last year for specific park maintenance items, as an example of the kinds of costs the form will capture.
Council asked whether police photos would suffice; staff said the department’s process changed and that having city-taken pictures and the completed form will simplify later accounting and evidence requests. The council directed staff to place the form on the shared drive and make it fillable so employees can submit incidents electronically. A motion to adopt the updated form passed by voice vote.
What happens next: staff will upload a fillable version of the vandalism form to the city drive, notify frontline employees and provide basic training on photographing and reporting incidents.
