Connell City council voted to award its annual HVAC maintenance contract to Southland HVAC in the amount of $5,630 per year, council business records show.
Tyson, a city staff member presenting the bids, said staff solicited three comparable proposals after the previous HVAC provider sold his company. Tyson said the city received bids from Dayco ($7,760 annually), Noble HVAC ($10,110.60) and Southland HVAC ($5,630), and recommended Southland as the lowest responsive, responsible bidder. "We recommend awarding the HVAC service contract to Southland HVAC company in the amount of $5,630 annually as the lowest responsive and responsible bidder," Tyson said.
Council members asked about contract length and termination. An attending staff member said the contract would be annual and include a 30-day termination clause allowing either party to end the agreement with written notice. Council moved to authorize Mayor Harper to sign the contract in a form acceptable to city counsel and approved the award by voice vote.
The city said the contract will be funded from the operations and maintenance budget. Tyson noted an operational benefit: the previous owner who serviced the city for seven years sold his business to Southland and continues to work for the new company, providing continuity of knowledge.
The council did not attach separate conditions or amendments to the award; staff is to finalize the small-works contract with the bid as an exhibit and present the contract to the mayor for signature.
