The City-Sponsored Special Events Committee voted on Jan. 29 to hold regular meetings every other month and spent the session outlining programming and funding for a yearlong Clayton 60th Anniversary celebration, the Concerts in the Grove summer series, the July Fourth parade and the Clayton Classic Car Show.
The decision to meet every other month, with special meetings as needed, was recorded as the committee’s scheduling plan for 2024. Vice Mayor Trupiano and Councilmember Wan discussed calendar options; no formal roll-call vote is recorded in the minutes.
Committee members reviewed plans for the Clayton 60th Anniversary Celebration, noting participation by the Clayton Community Library and the Clayton Historical Society. The committee discussed holding a proclamation or ceremony at Endeavor Hall on March 3 or March 4, a townwide celebration at The Grove following the July Fourth parade, creating a 60th-anniversary logo, and pricing banners and displays. Members also noted marking former Mayor Bob Hoyer’s 103rd birthday as a commemorative element of the yearlong program.
The Concerts in the Grove series — scheduled May 18 through Aug. 24 — was discussed in detail. The committee agreed to create and distribute a request for proposals to hire a promoter, discussed potential promoter candidates and outlined how the RFP will be scored and the vendor selected. Event promotion and the music lineup were also topics of discussion.
On parade logistics, members emphasized volunteer coordination and outreach to local leadership and community programs. They asked for PDF-fillable parade-participation applications to be made available for email submission to City Hall, discussed promoting the Sunrise Rotary Club pancake breakfast on parade day, and recommended developing a procedural manual for parade operations.
The Clayton Classic Car Show will run multiple dates this summer (June 12 and 26; July 10 and 24), with the committee addressing event-day logistics.
On financing, the minutes record a City Council allocation of $60,000 to support city-sponsored events and an $89,000 Concerts in the Grove fund balance, approximately $40,000 of which has been pre-allocated. Committee members discussed sponsorship-package levels, engaging prior sponsors, on-site collections at concerts and cooperating with the PCF for fundraising activities.
During public comment, resident Gloria Utley raised concerns about Republic Services’ waste-collection practices and recounted problems she said had occurred at past city events. The minutes do not record a staff response.
City Clerk Stephanie Cabrera-Brown staffed the meeting. The committee noted staffing and volunteer recruitment needs across events. The meeting adjourned at 5:05 p.m.
