Waller County approves $63,703.90 furniture purchase for district clerk office after procurement questions

Waller County Commissioners Court voted Dec. 17 to approve a $63,703.90 purchase of furniture for the district clerk’s 4-quad trailer after a period of discussion about procurement procedures and delivery timing.

Danny (staff assisting the district clerk) told the court the additional furniture — eight cubicles with locking sliding doors, four desks, a dining table and chairs plus lobby seating — had not been included in the original soft cost estimate for the project and could not be easily absorbed without the purchase. He said the supplier previously used (Office Makers) did not offer the contemporary/traditional look required, and the county had used the vendor before.

Several commissioners urged getting at least one other quote on a purchase of this size. “I think you gotta get at least 1 other bid,” one commissioner said; another commissioner said the department had waited and deserved to be moved into the office as soon as possible. County procurement staff noted that if the vendor is part of a cooperative purchasing agreement that prequalifies pricing, additional quotes may not be required, but the cooperative status had not been confirmed on the record and staff said they were still checking.

On first vote the item produced a 3–1–1 result; the court then moved to amend the item to the corrected dollar amount of $63,703.90, voted to approve the amendment, and carried the item as amended. Staff said furniture delivery may take six to eight weeks and that occupancy could proceed once ordered.

The court asked procurement and department leadership to confirm cooperative purchasing status and to use the agenda-briefing process so department heads can provide backup information before future votes. The matter will be followed up administratively to confirm vendor sourcing and to schedule delivery and installation.
