Town board approves $75,000 grant application to inventory and manage municipal records

Deanna, the town’s records management officer (Town Clerk’s office), told the board the proposed Local Government Records Management Improvement Fund (LGRMIF) application would fund a consultant to inventory inactive records across 11 departments, train two part‑time records clerks, and implement the NYS LGS‑1 retention schedule. She said the town currently has only about "186 cubic feet left for any new records" and estimated the consultant work and staffing would produce an inventory and a sustainable internal records‑management process.
Deanna said the last full inventory was done in 1993 and that a consultant would both document records eligible for legal disposal and train departmental coordinators so the work would not need repeating. The board moved and approved Resolution 12 authorizing application for the $75,000 grant by voice vote (4 ayes).
Chair thanked staff and named Anne Rubin and Alex (project manager) for coordination. If awarded, the grant would fund consultant work and clerical training; the town would document destroyed records according to state rules.
