Finance Director Minnie Marrano summarized the contract: core managed IT services are $12,008.77 per month with an additional $2,003.80 per month for managed backups; backup service is necessary because police and city servers store large volumes of video and records. Mid Valley IT representatives described cloud backups and failover procedures to preserve continuity if physical servers fail.
The AV modernization project — estimated at $358,273.80 — covers a dedicated video conference PC, optional VoIP backup, new staff/clerk tables with microphones and monitors, replacement of main chamber displays, a modern video‑over‑IP production switcher, wireless microphones and enhanced streaming/recording. Staff said part of the cost will be funded by a $150,000 San Joaquin Valley Air Pollution Control District grant plus PEG franchise fees and IT budget funds.
Council approved Resolution 7070 to accept the managed‑services agreement and AV modernization work; staff cautioned there may be service interruptions during installation that could affect April/May meetings. Mid Valley IT explained backup routines and the city’s current server virtualization and failover safeguards.
The upgrades aim to ensure the city can offer reliable two‑way remote participation, improve accessibility and preserve meeting recordings for public access.
