Committee reviews expanded Inform K12 contract, asks whether alder approval required

CFO Mr. Hernandez described an expanded agreement with AMEX Inc. (Inform K12) to scale an automated purchase-order workflow and other administrative processes across the district after a small proof-of-concept. “We implemented it throughout the district, seeing the success … we will be saving a lot of time, a lot of manual work, a lot of human error,” Hernandez said.
Hernandez said the vendor will implement multiple workflows — examples include requests for hires, job-posting requests, parent letters, and time-sheet approvals — and that the implementation period would run from approval through August so tools are ready before the school year; the licensing will be for one year with the added two months only to align the renewal cycle to July 1. He said the implementation cost is already broken out at about $15,000.
Committee members raised process questions. Mr. Wilcox asked the attorney to confirm whether the contract’s length (which crosses into the next fiscal year) will require alder or full-board approval; President Yarbrough suggested splitting implementation costs into a separate line if alder approval is required. Hernandez asked the attorney to advise the committee this week and promised to notify the committee if the contract structure changes before posting the item.
The committee advanced the item to the full board as part of a bundled motion that included multiple agreements, amendments, purchase orders, change orders, contracts and certifications; the bundled motion passed in committee roll-call (Downer: yes; Dr. Yarbrough: yes; Mr. Wilcox: yes). No final contract award was executed at this meeting; the item will proceed to the full board for final approval or further action.
