Committee pushes for clearer volunteer roles as staff outlines work toward a formal program

Committee members at the April 2 Properties Committee meeting pressed for clearer volunteer recruitment and onboarding across Sun City West facilities, saying many postings do not specify time commitments or duties.
Holly, a committee member, said volunteers want meaningful, impactful roles and clearer expectations. “I invest in an environment where I can make an impact, where I solve problems,” she said while urging volunteer listings to include responsibilities, schedules and the impact volunteers can expect.
Committee members and residents described mixed experiences: Tom Jones, a resident active in the Prides program, said Prides has a structured schedule and encouraged residents who did not get a response to reach out again so teams remain staffed when seasonal residents leave.
Natalie Putnham, who introduced herself as the clay club representative for Beardsley, urged volunteer coordinators to treat recruitment like hiring: clear job descriptions, onboarding plans, mentorship and training. “Bringing on volunteers is like hiring only without money,” Putnham said.
Staff indicated the issue is on the agenda for the coming fiscal year. A staff speaker said the strategic plan includes creating a more structured volunteer program for recreation centers and that staff has begun work; the same speaker set a target for progress. “Basically by June 30 of next year we will have accomplish something with that,” the staff member said, while noting the form that work will take had not been finalized.
Committee members urged all facility and program leads to respond to volunteer inquiries and to adopt clearer role descriptions to improve retention and fit.
The committee did not adopt a formal volunteer policy at the meeting; staff was asked to continue work and report back as the strategic-plan item is developed.
