The Los Altos Hills EIC reviewed plans to host an SBCE “Dream Home” display at the town picnic, focusing on where the mobile exhibit could be placed and how it would be secured.
Chair (speaker 1) opened the discussion and members emphasized that the exhibit’s deployed footprint—variously described in the meeting as about 40 by 20 feet when set up, and up to 40 by 40 feet in some estimates—creates access and traffic concerns near the main and antique-car fields. Committee members raised alternatives including placing the display adjacent to a fence, at a corner of the park, or temporarily on the road if field space proved insufficient.
Speaker 4 said Cody is the primary contact with SBCE and suggested SBCE or a representative be invited to the picnic committee meeting; the group agreed to ask SBCE to present by Zoom if an in-person representative cannot attend. The committee also discussed overnight setup and security: members proposed staging the exhibit the night before in a courtyard area that is already covered by mobile security cameras and then moving it to its picnic location the next day. Speaker 4 volunteered to coordinate arrangements with the picnic committee and to follow up with Cody.
Budget and materials were also addressed. Members reported that committee event budgets are currently $2,500 per committee (reduced from a prior $5,000), and the group debated whether to print handouts or rely on a reusable EIC banner. The committee signaled a preference for a single, generic EIC banner and minimal printed materials; volunteers offered to provide a freezer and to hand out a small food item as an attention-getter.
The committee left the item with clear next steps: Speaker 4 will present the Dream Home to the picnic committee at its Monday meeting (6:30 p.m.), invite an SBCE representative or arrange a Zoom presentation, and confirm whether overnight staging and town security resources will be available. The picnic committee will finalize booth placement based on a site map and legal review of overnight setup.
