Board reviews out-of-state, overnight field trips and supervision protocols

The Manheim Township School Board reviewed five proposed out-of-state or overnight high-school field trips submitted for approval to continue planning, and board members took the opportunity to question supervision ratios, lodging arrangements and funding sources.
Dr. Ryman said the trips require board approval per policy and that plans are in place for funding, chaperones, supervision and transportation; he also said several trip protocols (pre-trip meetings, room assignments and safety checks) would be completed after the board’s initial approval.
Several board members pressed for more detail. Mrs. H. asked about a trip showing 30 students with only three chaperones and four students per hotel room, calling that "light." Dr. Ryman and other administrators said the district adheres to a 1:10 chaperone ratio and that the setting (conference vs. cabin) affects rooming; for cabin settings chaperones are gender-alike and rooms are gender-specific. Mr. Woodbury and others asked that the administration provide an update confirming that overnight procedures were completed before the trip takes place.
Board members also asked about funding: Dr. Ryman explained possible sources include family payments, booster clubs and high-school budget allocations, and he offered to return to the board with clearer funding breakdowns in the board folder for future trip approvals.
No trips were canceled at the work session; the board will vote on the items at its March 19 voting meeting and board members requested that administration provide post-approval confirmations that all safety and supervision procedures are complete.
Next steps: Administration to provide a clearer funding breakdown and consider a simple confirmation procedure (email or folder update) to the board before each overnight trip.
